Conditions of participation

1. General Stipulations

The present eApplication is at the same time a legally binding and irrevocable contract concluded between the Organizer and the Participants for the event SIDEC 2025 (hereinafter the event). The Organizers of the event is GOIS Slovenian Defence Industry Cluster and Ministry of Defence of the Republic of Slovenia (hereinafter the Organizer), while the Technical Organizer is the company Proevent d.o.o. The Participant in the event fills it in and submits it within the specified application deadline. The registration with reservations will not be considered by the Organizer. The prices applicable to the event and stated in the eApplication are in Euros and do not include VAT. By submitting this eApplication, the Participant guarantees the accuracy of the data and irrevocably and exclusively recognizes and accepts these terms of participation as the content of this contract/application. The Organizer reserves the right to decide on the acceptance of the participant, his products and services to the event. The smallest exhibition space that the applicant can lease is 9 m2. The Organizer reserves the right to reject applications received after the application deadline. The general terms and conditions define the relations between the Exhibitor and the Organizer of the fair regarding cooperation, mutual financial obligations, settlement of any damage and similar related to the fair.

2. Use of Data

The Participant allows the Organizer to process the data submitted with this eApplication for the needs of the event. The Organizer keeps and protects the data of the Participant in accordance with the valid laws and regulations. Invoices and all other documentation regarding the participation of the Participant in the event are stored with the Organizer.

The Organizer can use publicly available data of the Participant (like the official title of the organization, sphere of activity, form of participation in the event etc.) for:

  • Doing business with the Participant;
  • Sending offers and promotional messages in connection with the event to the Participant by post, e-mail or through telephone;
  • Informing the Participant about and advertising the event before, during, and after the event;
  • Statistical processing of data;
  • Market research and opinion polls;
  • Creating and updating databases of the Organizer.

3. Application to the Event

Application for participation in the fair is carried out via the online e-application for the SIDEC 2025 fair. Based on the application, the Organizer will send the Exhibitor a Confirmation of application and an invoice for the ordered services. With the signature of the Confirmation of Application by the legal representative of the exhibitor, the contract between the organizer and the exhibitor is concluded. Even if the exhibitor pays a partial or full advance on the basis of the invoice received, it is also considered that the contract between the Organizer and the Exhibitor is concluded with the payment of the advance.

4. Allocation of Exhibition Space

Domestic and foreign exhibitors whose exhibits correspond to the theme of the event can exhibit at the event. Dealers and importers may display items of the companies they represent. The Organizer, who allocates the exhibition space in the best interest of the event, decides on the admission of the Exhibitor to the event and the allocation of the exhibition space. Exhibitors do not have the right to pre-select a specific location or type of exhibition space, regardless of the preferences they indicate on the application form. In the spatial or temporal allocation of the promotion, priority is given to Participants who lease larger packages. Any change to the allocated exhibition space must be approved by the Organizer. The Organizer can also relocate and make other changes regarding the exhibition space. The Organizer decides on these measures in the interest of the event. The Organizer has the right to change the exhibition space or the arrangement of the exhibition space even after the exhibition space has been assigned to the Exhibitor, if he has a justified reason for such measures due to special circumstances.

5. Cancellation of Application Form and Contract

If the Participant cancels this eApplication they are obliged to pay the following cancellation fees:

  • 40 % of the price of the package of collaboration in case of cancelling this eApplication more than 30 days prior to the opening of the event;
  • 100 % of the price of the package of collaboration in case of cancelling the eApplication less than 30 days prior to the opening of the event.

If the Exhibitor does not take part in the event for whatever reason despite their application and registration, the Organizer can allocate their virtual exhibition space to another user. In any case, the Exhibitor is solely responsible for the whole rental of the virtual exhibition space.

6. Participation and Ecological Fee

Every exhibitor is obliged to pay an ecological fee. The Exhibitor is obliged to submit data for entry in the event catalog upon registration or by the deadline specified by the Organizer in individual forms. If the exhibitor does not deliver the data by the deadline or does not deliver it at all, only basic data (general) about the exhibitor will be published in the event catalog. In the event that the Organizer confirms the Exhibitor’s registration within 45 days of the event, it reserves the right to have the exhibitor listed only on the event’s official website. The Organizer reserves the right to shorten and adapt the content of the description for the event catalog accordingly, but is not responsible for any errors.

7. Payment

The Participant undertakes to pay for its participation (exhibition space and additional forms of promotion) in the Event at the prices agreed and specified in this Application Form and the Contract. Taxes are payable by the Participant at the Event. The Organiser undertakes to invoice and bill in accordance with positive law. In the event of late payment of invoices and bills, the Organiser may charge the Participant statutory interest on late payment. The Participant may object to the invoice in writing within 8 days of the invoice. If the Participant objects to only part of the invoice, he/she shall be obliged to settle the undisputed part of the invoice within the time limit and in the manner set out in this Application Form and the Contract.

8. Cancellation of space allocation

The Organiser/Technical Organizer has the right to refuse or cancel the Application and the Contract in the following cases:

  • if the applicant is in settlement, bankruptcy or liquidation proceedings at the time of application;
  • if the Organizer has outstanding claims against the applicant from previous events (applies to all events resulting from cooperation with GOIS, Ministry of Defence and/or Proevent d.o.o.);
  • if the products and services to be exhibited at the event do not correspond to the theme of the event;
  • if the exhibitor fails to deliver the documents (point 12) at the request of the Organizer.

9. Technical Conditions

If the Exhibitor does not order the equipment of the Exhibition space from the Technical Organizer, he is obliged to inform the Organizer about the contractor no later than 45 days before the start of the fair.

In order to participate in the fair, the minimum arrangement of the exhibition space is mandatory, which includes a floor covering, a fair construction, fascia board and other equipment appropriate for the fair.

The Exhibitor is obliged to submit to the Organizer a draft arrangement of the exhibition space and an order for equipment and connections no later than 45 days before the start of the fair.

For exhibition spaces that are higher than 2.50 m, the Exhibitor must obtain the written consent of the Organizer. The plans of such exhibition spaces must be presented to the Organizer 45 days before the start of assembly. When setting up the exhibition space, the exhibitor may not interfere outside the allocated space.

The water in the ordered water connections is industrial. Water must be boiled before consumption.

The Exhibitor may not place or display any promotional or other messages outside his exhibition space, if he does not have the permission of the organizer. The Exhibitor must remove obstructions or obstacles or inappropriate constructions immediately after being warned by the Organizer. In this case, the costs due to the absence are borne by the exhibitor.

10. Installation and dismantling

Set-up and dismantling must be registered in advance. The deadlines for assembly and dismantling, as set out in the Instructions for Exhibitors, must be strictly adhered to. If the dismantling deadline is exceeded, the Organiser shall be entitled to dismantle the stand (pavilion) at the Exhibitor’s expense and risk. Upon completion of dismantling, the exhibitor must return the space in which he has exhibited to its original condition. Failing this, the exhibitor shall be liable to compensate the organiser for any damage caused. When setting up and equipping the exhibition space during assembly and dismantling, the exhibitor or his contractor must comply with the regulations on occupational health and safety and fire safety, the technical regulations and standards, the general conditions of work in the event space and the instructions of the organiser. The Exhibitor is obliged to separate waste in the receptacles provided for this purpose. The Exhibitor must not remove the exhibits from the stand before the end of the event. The Exhibitor may leave the exhibition space early only with the written permission of the Organiser.

11. Guarantee and Insurance

  • The Organiser shall not be liable for any damage to, loss, destruction of, or theft of the Exhibitor’s or its contractor’s property (exhibits, equipment, etc.), their staff or third parties, nor for any damage to the Exhibitor’s or its contractor’s property, their staff or third parties caused by fire, windstorm, hail, lightning, breakage, spillage of water, theft, or any other cause whatsoever.
  • The Organiser shall not be liable for any damage, loss, destruction or theft of property or injury to third parties caused by the conduct of the Exhibitor or its contractor on the Exhibition or Event Space. The exhibitor or his contractor shall take out appropriate insurance at his own expense.
  • The Exhibitor or his contractor shall be liable for damage and accidents caused by him or his staff to the organiser and/or to third parties on the exhibition or event site.
  • The Organiser accepts no liability whatsoever for vehicles left on the fairground and car park by exhibitors, their employees or agents or their contractors.
  • No guarantee is given for defective entries in the event catalogue (e.g. typographical errors, design errors, incorrect translation or if there is no entry, etc.).
  • The Exhibitor may not sublet the exhibition, advertising or promotional space allocated or any part thereof to a third party. In the event of a breach, the Organizer reserves the right to charge the Exhibitor an additional fee of 100% of the price of the exhibition, advertising or promotional space allocated.
  • The exhibitor’s liability insurance is also included in the price of cooperation with the exhibition space. This covers damage suffered by third parties in accordance with Art. 1. (1) item of the conditions of PG-odg/23-7 (full conditions are available via the e-link: https://ce-sejem.si/wp-content/uploads/2024/06/PG-odg_23-7-ang.pdf). The insurance covers damage due to claims that are the result of sudden and shocking events (accidents) that occurred in direct connection with the insured’s trade fair activity at the insured location. Sum insured: EUR 100,000. Deductible deductible: 10% of the damage, minimum 500 EUR, maximum 2,000 EUR. INSURANCE PLACE is the area of the Celje Fair.

12. Presentations

  • The Exhibitor must notify and submit in writing the exact programme of presentations (e.g. musical performance, self-organised event, etc.) at the stand to the organiser for prior confirmation and coordination at least eight days before the event. The Organiser shall be entitled, subject to written permission already granted, to restrict or prohibit presentations which cause noise, dirt, dust, gas leaks or otherwise interfere with the event. Demonstrations may only take place in the exhibitor’s allocated stand.
  • · All demonstrations on the exhibition stand must comply with the Law on Offences against Public Order. The permitted volume in the halls during the event is 60dB. The exhibitor must settle all copyright claims (SAZAS) for its own performances. The exhibitor undertakes to settle all claims for compensation for the use of copyright-protected works, which it, as the organiser of the event, is obliged to pay in accordance with the applicable legislation (159. For this purpose, the Renter undertakes to inform the competent collecting societies for the enforcement of copyright and related rights of the use of protected works in good time, i.e. at least eight days before the public performance, and in accordance with the regulations.

13. Exhibitor’s Activity – Documents

The Organiser shall have the right to request from the Exhibitor at the time of registration:

  • the authority that the conditions laid down by law for the exercise of the activity are met;
  • the relevant consent of the competent health and veterinary inspectorate if the exhibitor will be involved in the sale of foodstuffs and articles of general use, food tasting or demonstrations of articles of general use or catering activities at the event.

The Organizer has the right to cancel the participation (performance) of the exhibitor at the event if he does not deliver required documents, but the exhibitor is nevertheless obliged to pay for all ordered services. For direct sales at the fair, the exhibitor is obliged to ask the organizer for the necessary permission. The circulation of goods and services must be carried out in accordance with applicable regulations, including obtaining all necessary consents.

Exhibitors must behave on the fairgrounds in a way that is not unpleasant for other exhibitors, visitors or the organizer. If the exhibitors do not comply with this condition, the organizer has the right to immediately terminate the cooperation agreement, but the exhibitor is nevertheless obliged to pay for all ordered services.

During the fair, the installation of transmitting WiFi devices (WiFi routers) for private access to the Internet is prohibited. In case of violations, the organizer reserves the right to confiscate such devices and keep them until the end of the fair.

14. Fire safety

During assembly and disassembly and during the duration of the event, the Exhibitor and his Contractor must comply with: fire safety regulations, occupational safety regulations, other technical regulations and general conditions of work at the fairgrounds.

Exhibitors must use non-flammable materials or materials impregnated with a non-flammable solution when setting up and equipping exhibition spaces and displaying exhibits, which must be equipped with an appropriate sign proving this. All materials must comply with the requirements of the competent services.

15. Photography and drawing

The Organizer shall have the right to photograph, draw, record or otherwise reproduce the exhibition premises and the exhibits on film, video tape or digital media and to use the material for its own purposes or for general use. The exhibitor waives all copyright claims. No photographs, drawings or recordings of the exhibition may be taken or made without the permission of the organiser, with the exception of the exhibition space (pavilion).

16. Cleaning of the exhibition space (pavilion)

The Organizer/Technical Organizer takes care of cleaning the fairgrounds and corridors in the halls. Cleaning the exhibition spaces (pavilions) is the duty of every Exhibitor, but upon request, the Organizer can take over the cleaning at the exhibitor’s expense by an organization designated by him. During assembly, fair and dismantling, the Exhibitor is obliged to separate waste according to the instructions of the organizer. Exhibitors and their equipment installers must themselves ensure the proper disposal of waste in the designated waste collectors. In the event that the exhibitor does not properly separate the waste, the organizer may fine him and pass on the potential costs of additional separation and inspection sanctions. Garbage removal is Organized by the Organizer/Technical Organizer.

17. Complaints and Court

Any complaints must be asserted in writing by the Exhibitor as soon as the reasons for them have arisen, the organizer will not be able to consider later complaints. The Organizer/Technical Organizer and the participants will resolve all disputes amicably. If an agreement is not reached, the court in Ljubljana is competent to resolve the dispute.

18. Organizer’s warning

Any form of unauthorised promotion which does not comply with the Instructions, the Event Regulations and the Instructions for Exhibitors will be sanctioned. All participants are reminded to refrain from playing too loud music and other distracting actions that may disturb other participants of the event.
